The Armstrong Family Foundation   Grant Application Guidelines  Application Procedure
The Foundation accepts applications for grants from qualified tax-exempt charitable organizations. (The Foundation does not make
grants to individuals).  A review of the Foundations’ brochure is necessary to ensure that the grant application meets its’ principles
and donation policies. All applications must be accompanied by a cover letter signed by the Chairman of the Board of the
organization authorizing the presentation of the application. The application must include the following:


1. Name of organization, mailing address, street address, name of correspondent, telephone number, type of organization and
nature of operations, state of incorporation, date incorporated, name federal information filed under and form (990,990T,990AR or
other), amount of request and brief description of use of funds.

2. A copy of a valid Internal Revenue Service letter granting exemption under Section 501(c)(3) of the Internal Revenue Code.

3. A copy of a valid state tax exemption in the state in which the applicant is organized.

4. A current list of officers, directors, and/or trustees.

5. Complete audited financial statements, as of a current date, with original binding intact. Financial statements prepared by other
than independent auditors must be signed by two officers of the Board of Directors or Trustees. All accompanying notes to the
statements must be included. If the audited statements are more than three months old, the most recent internal, unaudited
statements must be included.

6. A detailed statement defining the need for the services or facilities that would be provided by the requested funds.

7. A detailed statement of the request including a complete budget, work time, projected time schedule and other applicable details.
Provide complete financial information (sources and amounts of all loans, grants, pledges and other fund raising activities, copies of
contractors’ estimates and/or bids from vendors, etc.)

8. The following additional information concerning the organization and the grant:

  • Percentage of total expenses spent on charitable programs
  • Cost to raise $100 from the general public
  • Ratio annual operating expenses to total net assets
  • Percentage that this grant would be of the organizations’ annual income, and if for a specific project, what this grant would be
    of the total project
  • Percentage of this grant that will be utilized outside of Arizona or Montana

9. A statement describing the manner and approximate schedule with which your organization would report to the Foundation the
disbursements of monies and an evaluation of the results obtained with requested funds.

10. A statement stipulating that no portion of the grant will be used to compensate professional fundraisers.

Board of Directors Review

Regular meetings of the Foundation’s Board of Directors are held to consider and take final action on pending applications for
grants. It is the intent of the Board to respond to all grants within six months of receiving the application. Communications with
individual directors of the Foundation will not be of assistance to the applicant and are discouraged. However, site visits by
representatives of the Board may be conducted as part of the investigative process.

The deliberations of the Board include an analysis of each application in terms of the following criteria:

1. The completeness, accuracy and credibility of the application.

2. The serious current need for the grant and the extent to which the grant would duplicate facilities or services in the
geographically affected area.

3. Whether the grant will make a significant difference to the project or the organization.

4. Whether the grant will be used for a specific need.

5. The reasonableness of the budget for the project or services including assurances as to the availability of the requisite funds to
the extent that they are not to be furnished by the proposed grant.

6. The representation that the project will have efficient and economical management by persons who are experienced and
competent.

7. The assurance that the results of the project or services provided by the grant will be effectively communicated and practically
utilized by the persons whose needs are to be served.

8. The assurance that the investment is warranted when compared with alternatives available for use of the same funds.

Note:

The Armstrong Family Foundation is particularly interested in furthering the work of grass roots organizations. Allowances can be
made in the grant guidelines and application procedure for organizations that are new to grant funding and may lack the experience
and resources of more established agencies.
